Who we are

Hart Consultancy is a New Zealand based consultancy helping businesses identify and implement practical AI, intelligent workflows and CRM improvements. In this policy, “we”, “us” and “our” mean Hart Consultancy.

This policy explains how we handle personal information collected through this website and in the course of providing our services.

Information we collect

We only collect personal information that we need in order to respond to you and deliver our services. That generally includes:

  • Contact details you give us, such as your name, email address, phone number and organisation, when you complete an enquiry form or contact us directly.
  • The content of your enquiry and any subsequent correspondence with us.
  • Information you provide during a project, which may include details about your systems, processes and teams.
  • Technical and usage information collected automatically when you visit this website, such as your IP address, browser type, referring page and the pages you view.

How we use your information

We use personal information to:

  • Respond to your enquiry and arrange a conversation.
  • Provide, manage and improve our consulting services.
  • Keep records of our engagements and meet our legal and tax obligations.
  • Understand how this website is used so we can improve it.
  • Send you information you have asked to receive. You can opt out of any marketing communication at any time.

Cookies and website analytics

This website may use cookies and similar technologies to keep the site working correctly and to gather anonymous statistics about how it is used.

You can block or delete cookies through your browser settings. Some parts of the site may not work as intended if you do.

Service providers and third parties

We use reputable third party providers to run our business, including a CRM and email platform, cloud hosting and analytics services. These providers process information on our behalf and are only permitted to use it to provide services to us.

Some of these providers store or process information outside New Zealand. Where that happens we take reasonable steps to ensure comparable protections apply.

We do not sell personal information, and we do not share it with third parties for their own marketing purposes.

Confidentiality in client work

Information we access during a client engagement, including business data, systems and documentation, is treated as confidential and used only for the purpose of that engagement.

We do not use client data to train third party AI models, and we will not name you or describe your work publicly without your agreement.

Storage, security and retention

We hold personal information in secure, access controlled systems and take reasonable steps to protect it from loss, misuse and unauthorised access or disclosure.

We keep personal information only for as long as we need it for the purposes described in this policy, or for as long as the law requires us to keep it. When it is no longer needed we securely delete or de-identify it.

Your rights

Under the Privacy Act 2020 you have the right to ask for a copy of the personal information we hold about you, and to ask us to correct it if it is wrong.

You can also ask us to delete information we no longer need, or to stop sending you marketing communications. Contact us using the details below and we will respond within the timeframes set out in the Act.

If you are not satisfied with how we have handled a privacy matter, you can raise it with the Office of the Privacy Commissioner at privacy.org.nz.

Changes to this policy

We may update this policy from time to time to reflect changes in our practices or legal obligations. The current version is always published on this page with the date it was last updated.
